Video Overview

Step 1: Download and Prepare Your Files

You'll start the launch process by first downloading the starter templates. Once your templates are downloaded and opened, you can begin copying over your student and staff data.

Student Data

For your student file, you'll need three essential pieces of information, first name, last name, and grade. When copying students over it is important that they are only on this list once. If a student is listed more than once in the spreadsheet, they will be created as multiple students each with a separate bank account.

Tip: If your spreadsheet has First Name and Last Name in the same column, go to the Data tab and use the Text to Columns option, choosing Space as a Delimiter. This will split your First Name and Last Name for you!

You can also list a single Roster per student in Column D. This is optional but would be a great place to add a House name or a Homeroom. Just be sure each House or Homeroom is titled consistently, or you would create two separate Rosters, for example, Smith Period 1 vs Smith Pd 1.

If you want to submit multiple rosters, don't worry! You can leave all rosters off of this initial upload, and then share your full spreadsheet with our Support team at support@liveschoolinc.com. When creating that spreadsheet, multiple Rosters will go in Columns D, Column E, Column F, etc., remaining on the same row as the student, but as mentioned above, make sure each is titled consistently.

Staff Data

For your staff file, you'll need first name, last name, and email. No rosters should be added here. We will make sure all Rosters are available to all staff members.

Step 2: Attaching Data

When you've finished preparing your student and staff files, you're ready to attach them!

The directions below include directions for confirming mapping, but these steps can be skipped by selecting Next at the bottom of the screen.

Attaching Student Data

In the Student section, click on Attach CSV followed by Upload data from file. Once you've selected your student file, you'll verify a few things:

  • Does the first row contain column names? If you see First Name, Last Name, and Grade in the first row, click Yes.

  • Does the list of names under First Name show the first names of your students? If so, click Confirm Mapping.

  • Does the list of names under Last Name show the last names of your students? If so, click Confirm Mapping.

  • Does the list of grades under Grades show the grades of your students? If so, click Confirm Mapping.

  • Optional: Does the list of rosters under Rosters show the rosters of your students? If so, click Confirm Mapping.

If that data doesn't align, open the dropdown menu and make the adjustments. For columns, you'd like to ignore select Ignore this column.

Attaching Staff Data

In the Staff section, click on Attach CSV followed by Upload data from file. Once you've attached your staff file, you'll verify a few things:

  • Does the first row contain column names? If you see First Name, Last Name, and Email in the first row, click Yes.

  • Does the list of names under First Name show the first names of your staff? If so, click Confirm Mapping.

  • Does the list of names under Last Name show the last names of your staff? If so, click Confirm Mapping.

  • Does the list of emails under Emails show the emails of your staff? If so, click Confirm Mapping.

You may see an error that you've uploaded more Staff than you paid for with your subscription. This might be due to previously entered Site Leaders that were not included in your file. You'll be prompted to accept an Invoice for additional staff.

Step 3: Submit

Once you've successfully attached your files, you'll be asked if you're ready to submit. Watch for an email letting you know it was submitted. After you've done that, the process is back in the hands of LiveSchool! Watch for an email from us letting you know that you're site is ready to go!

Small edits made through the year will take place within LiveSchool, not through this Launch process. For more information on how to make those changes, see Update Staff and Students.
