Uploading a New House List

Use the import tool to update house assignments in bulk. We'll walk you through downloading the template, filling it in, and uploading it.

If you already have a spreadsheet of who belongs in which house, or if you need to reassign a lot of students at once, uploading a house list is faster than doing it one at a time.

This article covers how to format the file, how to upload it, and what to do when something doesn't match.

Start with the template

Before you can upload, you need a file in the right format. The only way to get that is by downloading the template from LiveSchool, since it's the only place to pull each student's LiveSchool ID, which the importer uses to match rows to students.

To get the template:

  1. Go to House Points > Houses.

  2. Click Import in the toolbar. A modal opens with two options side by side: Download Template and Upload.

  3. Click Download Template.

You'll get a spreadsheet with every student in your school, sorted by grade and last name, with their LiveSchool ID, name, grade, and current house assignment already filled in.

⚠️ Heads up: This tool only works for students who are already in LiveSchool. Adding a new student row to the spreadsheet won't create that student. They'll just show up as "not found" when you upload.

To add a brand-new student to your school, do that first through your normal student management process, then come back and import them into a house.

Fill in the template

Open the downloaded file in Excel, Numbers, Google Sheets, or whatever you use. You'll see a row for every student in your school with their LiveSchool ID, name, grade, and current house assignment.

Update the House column for each student you want to change:

  • Adding a student to a house: Find their row and type the house name into the House column.

  • Moving a student to a different house: Find their row and replace the existing house name with the new one.

  • Leaving a student where they are: No action needed. You can leave their row alone.

The house name needs to match a house in LiveSchool, but capitalization doesn't matter (so "Phoenix," "phoenix," and "PHOENIX" all work). Spelling does matter, though, so type house names exactly as you set them up.

Save the file as .csv, .xlsx, or .xls when you're done.

Upload the file

Once your template is filled in and saved:

  1. On the Houses page, click Import to open the modal (or come back to it if you left it open).

  2. Drag your file into the Upload side of the modal, or click to browse.

  3. We'll parse the file and show you a preview.

Handling warnings

Before anything is saved, we'll show you a summary of what we found. Three warnings can pop up:

Unknown house names

The house name in your file doesn't match any existing house (usually a typo or a house you haven't created yet).

Fix the spelling or create the house, then re-upload.

Student IDs not found

These IDs don't match any students in LiveSchool.

Check for typos, or confirm the student exists in your roster.

Students had no house assigned

The House column was blank.

These students are skipped (no change for them).

If some rows are good and some aren't, the good ones will still import. The bad rows are just skipped.

Confirm and apply

Once the preview looks right, click Apply Changes. LiveSchool moves each student to their new house, and their existing points come with them.

⚠️ Important: Uploading a house list replaces the assignment for every student in the file. Students not in the file keep whatever house they were in before. So if you want to move everyone at once, make sure everyone's in the file.
