Three school-wide settings control how hall passes behave: what happens when a teacher forgets to close a pass, who can see a student's pass history at home, and how much of the school-wide picture your teachers get.
These settings apply to your whole school. Time limits for individual pass types live on the Pass Types page, and caps on how much students can be out live in Set Hall Pass Limits.
Go to Hall Passes, then General:
Auto-close forgotten passes
Teachers get busy, and a pass sometimes stays open long after the student is back. This setting ends those passes for you, so your reports are not skewed by passes that never got closed.
It is on by default. When it is on, you get two controls:
Close a pass once it has been open 2x, 3x, or 4x its time limit. The default is 3x. This scales to each pass type, so it uses whatever time limit that pass already has. A 10 minute pass set to 3x closes automatically after 30 minutes.
Passes with no time limit close after a set number of minutes. The default is 60. This covers pass types you have not given a time limit to, so nothing can stay open indefinitely.
Auto-close is a safety net, not a time limit. It is meant to sit well past a normal pass so it only catches the ones that were forgotten. Setting it too tight will close passes on students who are legitimately still out.
Family portal visibility
This controls who can see a student's hall pass history in their LiveSchool portal. The two toggles are separate, and they start in different positions:
Students can see their own passes. On by default.
Parents can see their child's passes. Off by default, so turn this on if you want families to have visibility.
These settings only affect the family portal. Staff always see full pass history, whichever way these toggles are set.
Teacher Visibility
By default, teachers work with hall passes one student at a time. They issue a pass by choosing a student and choosing a pass type, and that is the whole of it. They cannot see who else is out of class.
You can enable teachers to view the school-wide dashboard:
Turn this on and Hall Passes appears in your teachers' left-hand navigation, showing them the same live board you see:
Every student currently out, school-wide, not just their own students
Which pass type each student took, and where they are headed
Who issued the pass
How long they have been gone, counting up against that pass type's time limit
The Out Now, Today, and This Week tabs, plus the destination cards along the top
Teachers can also Check In a student from that list, which closes the pass. That helps when a student comes back to a different room than the one they left.
With only this setting on: teachers see the live board, but not Pause New Passes, the Reports list (Pass Log, Waitlists, Frequent Flyers, Pass Trends, Who Was Out, Meetup Prevention), or the Settings list (Edit Pass Types, No Meetup List, Set Pass Limits, General). That changes if you also turn on school-wide reports and settings below.
You can also enable teachers to view school-wide reports and settings:
Turn this on and teachers can now view all Reports and Settings from Hall Passes tab:
Admins and Site Leaders are still the only users who can change Settings, but everything about your Hall Passes system is now visible to all staff members.
Saving your changes
Every setting on this page saves as soon as you change it. There is no Save button. The one exception is the minutes box for passes with no time limit, which saves when you click out of the field.
