Hall Pass Waitlists: When a Pass Type Is Full

Why a student gets put in line for a hall pass, what teachers and students see while they wait, and how staff manage the queue.

When a pass type has a capacity limit and that limit is already reached, LiveSchool doesn't leave the teacher at a dead end. The student gets a spot in line, and everyone gets notified the moment a spot opens up.

What creates a line

A line forms when a pass type has a Capacity limit set and that many students are already out on it school-wide.

You set this per pass type under Hall Passes, then Edit Pass Types.

Turn on Capacity limit and enter how many students can hold that pass at the same time. A bathroom capacity of 2 means the third student who asks goes in line.

Students also go in line when a No Meetup List group-mate is currently out. That's the same queue, and it clears the same way, as soon as the group-mate is checked back in.

Two things that do not create a line:

  • Reaching a daily pass limit. That's a school policy, not congestion, so there's nothing to wait for. The pass stays grayed out until the limit resets.

  • A paused pass type. Passes resume when staff resume them, so there's no line to join.

What the teacher sees

Select the student and click Hall Pass as usual. A pass type that's full still appears in the list, but it's not clickable. Instead you'll see:

  • The reason, in amber: At capacity (or A No Meetup member is out)

  • A Get in Line button

Click Get in Line and the row changes to a confirmation: "You'll be notified when [student] can go to the [pass type]."

Click the X on that row any time to leave the line.

While the student waits

The student's card on your roster picks up an amber #X in Line tag showing their spot in the queue. The number counts down as students ahead of them go.

You can also click Hall Pass with nobody selected to open the active passes list. It has an In Line section showing everyone you're waiting on.

A few things worth knowing about the line:

  • It's school-wide and shared. Every teacher's students are in the same queue for a pass type, in the order they joined.

  • It survives a refresh. Closing the tab or reloading doesn't lose anyone's spot.

When a spot opens

As soon as a student checks back in and frees a spot, the next student in line is promoted automatically. The teacher who put them in line gets:

  • A notification that says [Pass type] is free now, with a one-click Activate button

  • A green, pulsing Pass Ready tag on the student's card

Click Activate and the pass starts. You can also start it from the In Line section of the active passes list.

Managing the line as staff

Go to Hall Passes, then Reports, then Waitlists to see every queue at once. For each pass type you get its capacity, how many students are out, and the students waiting in order.

Each row shows the student's name and grade, what time they got in line and how long they've been waiting, and why they're waiting (At capacity or No Meetup conflict).

From here you can:

  • Drag to reorder. Use the grip handle to move a student up the line if their need is more urgent.

  • Admit. Issues the pass right away, even if the destination is still full. Use this when you're making a judgment call the capacity limit can't.

  • Remove. Takes the student out of the line entirely.

Good to know

  • There's nothing to turn on. The line appears automatically wherever a pass type has a capacity limit.

  • Capacity is counted school-wide, not per classroom. Every open pass of that type counts toward it.
