Set Up a Pass Type

Every control that decides who can take a pass, who can give it, and when it can be used.

A pass type is more than a name and a time limit. Almost everything that makes hall passes work at your school is set here, one pass type at a time.

Go to Hall Pass > Settings > Edit Pass Types, then click a pass to edit it, or click Add Pass Type.

Pass name

What students and staff see when picking this pass. For example Bathroom, Nurse, or Counselor:

Time limit

How long a pass should last before it is flagged overdue. Set it in minutes:

Capacity limit

Cap the number of students who can hold this pass at the same time. Turn it on and set At most X students at a time:

Per-student pass limits

How often students can use this specific pass type. You can set a limit of no more than X passes or minutes; per day, week, or month; for all students, certain grade levels, or certain students:

This is how you ensure students are only going to bathroom twice per day, for example.

No-pass schedules

Times this specific pass cannot be used. This is separate from your school-wide settings, so you can block one pass without touching the others.

Add a schedule and fill in No passes from, then pick grades, days, a start time, and an end time:

This is how you stop nurse passes during her lunch, or counselor passes on the days he is not in the building.

Student eligibility

Who can take this pass. Choose All Students, or Custom to narrow it by:

  • Any grade

  • Any roster

  • Specific students

Teachers only see the passes a student is eligible for. Set your first floor bathroom to kindergarten and first grade, and a fourth grade teacher will not see it as an option at all.

Staff who can issue

Who can start this pass. Choose All Staff, or Specific Staff and pick the names.

Anyone can check a student back in, whichever way this is set.

Students can self-start

Students can start this pass themselves, without asking a teacher first. Turn it on and choose the channel:

Every limit still applies. Capacity, time limits, no-pass schedules, and No Meetup all hold whether a teacher or a student starts the pass.

Sensitive pass

The pass type and note will only be visible to the issuing teacher, administrators, and site leaders:

Other teachers, students, and families see a generic Hall Pass label.

Useful for counselor, social worker, or health passes.

Archive

Hide this pass type from staff and students, while keeping historical data. You can un-archive at any time:

Archive is the right move for a pass you no longer use.
