Import Points and Balance Adjustments from a Spreadsheet

Give a whole spreadsheet of students one behavior, or add to or set their point balances.

Written by Laura Litton

Import a spreadsheet of students to give each of them the same positive or negative behavior, like everyone who came to Saturday school. Or, update students' point balances from a spreadsheet, for example points they earned outside of LiveSchool.

Who can do this: Administrators and Site Leaders. Teachers don't see Import Points.

Get Your Spreadsheet Ready

There is no template to download. LiveSchool reads your file and finds your students on its own. Your file needs:

  • A .csv, .xlsx, .xls, or .numbers file

  • Each student's first and last name, or their ID number

  • For balances only: a column with point values for each student

If your file has more than one sheet, LiveSchool asks which sheet to use.

Start an Import

  1. In the sidebar, go to Points and click Import Points.

  2. Choose Bulk issue behaviors or Directly adjust balances.

A behavior import records a behavior on each student's timeline. A balance import changes students' bank accounts directly, with no behavior behind it.

Bulk Issue Behaviors

  1. Upload your spreadsheet.

  2. Check the Students matched and Couldn't match counts, then click Continue. If a row could be more than one student, LiveSchool asks Which student? so you can pick.

  3. Under Which behavior?, choose the behavior. Every student in your file gets it once, even if they are on more than one row.

  4. Add a Comment (optional). It is saved with every student's behavior, and students and families can see it.

  5. Review the import and record it.

When it is done, you see how many students were Recorded, Skipped and Failed, and a list of anyone who couldn't get the behavior.

Only behaviors worth at least 1 point show up in the list. Behaviors in a category limited to certain classes are left out.

Directly Adjust Balances

  1. Upload your spreadsheet.

  2. Check the Students matched and Couldn't match counts, then click Continue.

  3. Make sure the right column of points is picked.

  4. Under How should we use these points?, choose one:

    • Add to current balance: the number in your file is added to each student's balance.

    • Set as new balance: the number in your file becomes the student's new balance.

  5. Check the preview of each student's Current, Change and New balance, then submit.

Please allow up to 5 minutes for all students to be updated. If a student is on more than one row, their points are added together.

FAQ and Troubleshooting

It says "We can't import this file"

LiveSchool couldn't find a column of student names or ID numbers that match students at your school, or (for balances) a column with a number of points. Check your file against the list above and click Try another file.

Some rows say Couldn't match

These rows didn't match a student at your school, so they are left out of the import. Check the spelling of the name or the ID number.

It says bulk import isn't available because of a point reset date

Balance imports need your school to have a point reset date that has already started. Please contact support.

The balance import didn't finish

Some students may not have been updated. If you chose Set as new balance, it's safe to import the same file again. If you chose Add to current balance, check those students' balances before trying again, so no one gets points twice.

Can I undo an import?

There is no undo button for an import, so check the review screen carefully before you submit.
