LiveSchool and ClassLink: A Guide for District Administrators

What to share from your Roster Server, what Site Leaders can change inside each school, and how licenses, roster names, and co-teachers work.

This guide is for the person who manages your district's ClassLink Roster Server and answers questions from schools using LiveSchool. If you are a Site Leader at a single school, start with Manage Your Site.

1. What should sync

Your district shares access to its Roster Server with LiveSchool. Once that is done, your student and staff data syncs automatically, and teachers and students log in through ClassLink LaunchPad using their school credentials.

To set it up, open your ClassLink Roster Server and go to Apps > All Apps. Search for "LiveSchool Roster Data" and click Add. You will then choose how much to share:

  • Full Permissions: share all roster data with LiveSchool.

  • Rule-Based Permissions: choose exactly what you share.

We recommend rule-based permissions. Add a rule, specify data by building, and select only the school or schools using LiveSchool.

Sharing is turned off by default after you add the app. Go back to your Apps list, open LiveSchool Roster Data, and select Enable to start sharing.


2. What Site Leaders control inside the school

Site Leader is the highest school-level role in LiveSchool. Knowing what they can and cannot change saves a lot of back and forth.

Students must be managed in your SIS

On a synced site, students cannot be added, edited, or deleted in LiveSchool. Student changes have to be made in your SIS and flow through ClassLink.

What a Site Leader can do without you

  • Create rosters manually, for example an after-school club that is not in the SIS

  • Add users manually, for example cafeteria staff, counselors, or coaches who are not in the SIS

  • Manage licenses

  • Rename rosters

  • Share rosters with other teachers


3. How schools manage licenses

A LiveSchool subscription is priced on the number of user licenses purchased. Because the district controls the sync, schools often receive more staff accounts than they bought licenses for. Site Leaders decide who uses one.

Only Site Leaders can manage licenses. In LiveSchool, click Setup > Users in the left-hand menu, click Manage Licenses above the user table, then use the "Has License?" toggle next to a name.

When a license is turned off, that person's toggle turns gray and they no longer appear on the Teacher Scoreboard or in search. Points they awarded and rewards they purchased still appear in the Timeline under their name. Turning the toggle back on restores their access.


4. Renaming rosters

Roster names coming from a SIS are often long or hard to read, so schools frequently rename them. There are two places to do it, and they stay in sync with each other:

  • Roster Picker on the Points or Rewards screen: click the three dots beside the roster name and choose Rename

  • Setup > Rosters: select the roster and edit the name on its detail page

Renaming a roster changes the name for everyone it is shared with.


5. Adding co-teachers and sharing rosters

If a co-teacher, aide, or specialist needs a class that is not assigned to them in your SIS, the school can give them access in LiveSchool. There are three ways, all done at the school:

  • Setup > Users: open the user's detail page and click Add to Roster

  • Setup > Rosters: open the roster's detail page and click + Add Teacher
