LiveSchool syncs roster data with both Clever and ClassLink. This article walks through a Clever-synced site. If your school uses ClassLink, see Syncing Roster Data with LiveSchool via ClassLink and Adding LiveSchool to Your ClassLink App Library. Everything below about rosters and users works the same either way.
New to syncing? Start with Data Syncing with Clever or ClassLink, or contact support@liveschoolinc.com.
Step 1: Configure Clever Sync
Before your LiveSchool site can sync data, you need to inform Clever that you will be using LiveSchool. Reach out to your district's Clever contact and request them to share your school information with us in their system.
Once you have contacted Clever, please notify our Success team by sending an email to support@liveschoolinc.com. We will take care of the rest!
Sync Overview
When your LiveSchool site is synced with Clever, your student, teacher/user, and roster information is automatically imported from your Student Information System (SIS) into Clever. Clever then updates LiveSchool whenever changes occur:
Please note that most student and teacher/admin data edits should be made in your SIS. However, LiveSchool does allow manual setup data entry directly into our system. Here are a few examples:
Students
Students must be managed in your SIS. On a synced site, whether Clever or ClassLink, you cannot add, edit, or delete students in LiveSchool.
If your students or rosters have stopped updating, your district may have paused its sync. See Summer Sync: Why Updates Pause and When They Return below.
Rosters
All rosters in your SIS sync with LiveSchool. You can also manually create new rosters in LiveSchool. For example, if you have an after-school club that is not available in your SIS, you can create a roster manually in LiveSchool to track points for that group of students.
Teachers or Admin
Your teacher and admin accounts are also synced with your SIS. However, Site Leaders have the ability to add users manually. For instance, if you have cafeteria staff, counselors, or coaches who want to award points for excellent behavior but are not available in your SIS, Site Leaders can manually add them in LiveSchool.
Clever Single Sign-On (SSO) for Students
If your school uses Clever Single Sign-On (SSO) for students, they should sign in to LiveSchool using Clever.com.
To invite families, please refer to our article on Setting Up Your Families with LiveSchool.
Step 2: Managing Clever Rosters and Creating New Rosters
All the rosters available in your SIS will be accessible in LiveSchool, and you can also create rosters manually.
Roster Picker
The Roster Picker is a tool that helps you organize your rosters for easy selection. You'll find the Roster Picker throughout LiveSchool, providing consistent functionality:
Here's how it works:
Click the Roster Picker located in the top-left corner of the interface.
The "My Rosters" list will appear, containing all the rosters you've created or those shared with you.
The "Houses" tab appears if your school uses House Points, and organizes students by house.
The "Grades" tab allows you to view students in each grade.
The "Teachers" tab organizes rosters by teacher, which is helpful for observing or covering a class.
You can hide less frequently used rosters by clicking the three dots beside the roster name and selecting "Hide."
If you come across a long or confusing roster name from your SIS, click the three dots and choose "Rename" to assign a more recognizable name.
Teachers, administrators, and Site Leaders can search for rosters in the Roster Picker, or search for individual students in the upper right-hand part of the screen.
Summer Sync: Why Updates Pause and When They Return
This section describes Clever. If your school syncs through ClassLink, your district also controls when data flows, but the settings and dates work differently. Ask your district contact, or email us.
Most districts pause their Clever sync over the summer. While it is paused, no new students, staff, or rosters flow into LiveSchool, and you will not be able to add or edit them yourself. This is normal, and it is set by your district, not by LiveSchool.
When the pause happens
Clever sets default pause dates each year. For U.S. schools in 2026, Clever paused syncs on May 29 and lifted pauses between July 27 and 31. Your district can change these dates, or remove them, at any time. That means your actual dates may be different, and they can move after you have been told what they are.
A pause applies to the whole district. A single school cannot be unpaused on its own.
What happens while the sync is paused
New students, staff, and rosters from your SIS will not appear in LiveSchool.
Changes you make in your SIS will not come through until the pause ends.
Your district can clear or move the pause at any point. This is why you may occasionally see an unexpected update partway through the summer.
The unpause date is not always the day your data arrives
When the pause lifts, Clever checks how much your data changed. If a lot changed, which is common over the summer, your district's account goes on hold until someone at the district reviews and approves the change. Until they do, LiveSchool still will not receive the new roster.
If your unpause date has passed and you still do not see your students, this is the most likely reason, and your district can resolve it.
How to find out your district's dates
Ask your district's Clever or technology contact for the sync pause end date. They can see it, and change it, in Clever under Data sources, SIS sync, Settings.
Or email support@liveschoolinc.com. We can check what your district is currently sharing with LiveSchool and whether their sync is paused.
LiveSchool does not show a sync date or a next update time on your site. If you need a date, it has to come from your district or from our Support team.
What you can still set up while you wait
If you are preparing for training or your first day and your roster has not arrived yet, you do not have to wait to get started:
You can create rosters manually, which is useful for practice groups or clubs.
Site Leaders can add staff manually. This works best for people who are not in your SIS at all, such as counselors, coaches, or cafeteria staff. For teachers who will arrive through the sync, it is usually better to wait, so you do not end up with a duplicate account for the same person.
You can build your Rewards menu and your point rubric in advance. Neither depends on the sync.
Students are the exception. They cannot be added manually on a synced site, so student data has to come from the sync.
Planning a training date in August or early September? Check your district's unpause date first, and contact us if it is close to your training. Reference: Pausing the sync with your SIS (Clever).
