Submitting Your Student and Staff Files

This article will guide you through the process of submitting your student and staff files to launch LiveSchool from within your site.

Video Overview

Step 1: Download and Prepare Your Files

Click the Download button for Step 1.

To begin, click on the Download button for Step 1 to download the starter templates from https://liveschoolapp.com/#/datauploader. Once downloaded and opened, you can start copying over your student and staff data.

Student Data

The Spreadsheet will have 4 columns, First Name, Last Name, Grade, and Roster.

Your student spreadsheet will have four columns: First Name, Last Name, Grade, and Roster. For each student, you'll need their first name, last name, and grade. Make sure each student appears only once on the list. If a student is listed multiple times, they will be created as separate students with separate bank accounts.

Tip: If your spreadsheet has the First Name and Last Name in the same column, you can split them by going to the Data tab and using the Text to Columns option, choosing Space as a Delimiter.

You can also include a single Roster per student in Column D. This is optional but useful for adding a House name or Homeroom. Ensure each House or Homeroom is titled consistently to avoid creating separate Rosters.

If you need to submit multiple Rosters, don't worry! You can omit all Rosters from the initial upload and share your complete spreadsheet with our Support team at support@liveschoolinc.com. When creating the spreadsheet, include multiple Rosters in Columns D, E, F, etc., on the same row as the student. Again, make sure each Roster is titled consistently.

Staff Data

The Staff Data file will have three columns, First Name, Last Name, and Email.

The Staff Data file will have three columns: First Name, Last Name, and Email. For your staff file, include the first name, last name, and email of each staff member. Do not add Rosters here, as all Rosters will be available to all staff members.

Step 2: Attaching Data

When you've finished preparing your student and staff files, you're ready to attach them!

The directions below include directions for confirming mapping, but these steps can be skipped by selecting Next at the bottom of the screen.

Attaching Student Data

In the Student section, click on Attach CSV followed by Upload data from file. Once you've selected your student file, you'll verify a few things:

  • Does the first row contain column names? If you see First Name, Last Name, and Grade in the first row, click Yes.

  • Does the list of names under First Name show the first names of your students? If so, click Confirm Mapping.

  • Does the list of names under Last Name show the last names of your students? If so, click Confirm Mapping.

  • Does the list of grades under Grades show the grades of your students? If so, click Confirm Mapping.

  • Optional: Does the list of rosters under Rosters show the rosters of your students? If so, click Confirm Mapping.

If that data doesn't align, open the dropdown menu and make the adjustments. For columns, you'd like to ignore select Ignore this column.

Select the correct label for the data from the dropdown option.

Attaching Staff Data

In the Staff section, click on Attach CSV followed by Upload data from file. Once you've attached your staff file, you'll verify a few things:

  • Does the first row contain column names? If you see First Name, Last Name, and Email in the first row, click Yes.

  • Does the list of names under First Name show the first names of your staff? If so, click Confirm Mapping.

  • Does the list of names under Last Name show the last names of your staff? If so, click Confirm Mapping.

  • Does the list of emails under Emails show the emails of your staff? If so, click Confirm Mapping.

You may see an error saying that you've uploaded more staff than you paid for with your subscription. This might be due to previously entered Site Leaders that were not included in your file. You'll be prompted to accept an invoice for additional staff.

Step 3: Submit

Once you've successfully attached your files, you'll be asked if you're ready to submit. Watch for an email letting you know it was submitted. After you've done that, the process is back in the hands of LiveSchool! Watch for an email from us letting you know that your site is ready to go!
